Upgrade OnBase to improve application performance, maintenance, and security.

Project Overview 

This project is focused on an in parallel upgrade of OnBase EP3 to OnBase 24.1. Architecture of OnBase will be redesigned to better handle maintenance cycles, improve performance, and address security concerns. 

Objectives 

  • Upgrade locally hosted OnBase installation to version 24.1 
  • Migrate all end users to the new version   

High-Level Requirements 

  • Upgrade locally hosted OnBase installation to version 24.1 
  • Construct a new Document Import Process (DIP) server for 24.1 
  • Leave the old version EP3 DIP server to facilitate future migration of integrations 
  • Upgrade all desktop client software to support version 24.1 
  • Migrate all end users to the new version 

In Scope 

  • IPUP – In Parallel Upgrade Process (Both version EP3 and Version 24 will co-exist) 
  • OnBase-Storage User ID Based Security for Thick Client Scanning 
  • OnBase Processing Server Infrastructure Changes (DIP) 
  • OnBase EP3 Retirement 
  • Adjustments to support continuance of EP3 DIP server for limited time 
  • Remove NetApp dependency for OnBase 
  • Remove DDS dependency for OnBase 
  • Oracle Security Improvement 
  • Update OnBase Clients (Unity, Thick, Config, Studio) to version 24 
  • Update Oracle Clients to version 19 as necessary 
  • OnBase Web URL rename 

Out of Scope 

  • Integration migrations (These will be separate projects) 
  • Retirement of NetApp other than OnBase 
  • DDS Retirement other than OnBase 
  • Any new scanning setup 
  • New department implementations 
  • Modification of existing department implementations 
  • OnBase Infrastructure changes outside of items listed under In Scope

Major Deliverables and Milestones 

  • OnBase Oracle database is set up and all versions of OnBase and supporting servers are pointed to it 
  • OnBase 24.1 DIP server is set up on second license and hosting compatible document processes 
  • OnBase EP3 DIP server is set up and compatible with OnBase 24 to continue serving older document processes until they can migrate 
  • OnBase Web and Unity clients can connect to OnBase 24

Microsoft had implemented a solution to the issue, causing delays and timeouts with many of their services.

OnBase Production System Maintenance (Friday, December 6, 2024 – Sunday, December 8, 2024)

Overview

On Friday, December 6 at 5 p.m. until Sunday, December 8 at 5 p.m., ITS will be performing system maintenance to OnBase.

 

Benefit: This maintenance is necessary to ensure optimal operations and enhanced security in OnBase.

 

What Can You Expect

During the maintenance window, anyone actively using OnBase may be disconnected and need to reconnect.

Oracle Database Maintenance (Friday, December 6, 2024 – Saturday, December 7, 2024)

Overview

ITS will apply a critical Oracle patch on the OIMPRD and IRDMPRD databases from Friday, December 6, 2024, at 5 p.m. until Saturday, December 7, 2024, at 5 p.m. These critical security updates ensure our data remains protected. During the patch process, all services connecting to the Oracle databases will be interrupted.

 

Benefit: Upgrading the Oracle OIMPRD and IRDMPRD databases will ensure our databases remain secure. 

 

What Can You Expect

The following applications and services will not be available during upgrading: 

  • Budget AO - Executive Dashboard (Tableau Cloud)
  • Division of Student Life (DSL) GatorX DataMart
  • Metro College Data Feed to SalesForce Cloud
  • Office of Research and Sponsored Programs (ORSP) Data Feed to InfoED Cloud
  • The Oracle Identity Manager (OIM) Provisioning system
  • University Advancement CRM DataMart (BlackBaud Cloud)
  • WebFocus reporting services - Dept of IR

RESOLVED - Oracle Database Maintenance (November 23-24, 2024)

Overview

ITS has completed applying critical Oracle security updates to the Oracle databases. ITS teams worked to test functionality and connections and officially confirm that all applications are accessible and running efficiently.

 

 

What Can You Expect

Applications such as Class Schedule, Email Account Services, and University Calendar are working as expected.

Issues with Microsoft 365 (Monday, November 25, 2024)

Overview

Microsoft is currently experiencing a significant service interruption with Microsoft 365. Multiple Microsoft services are experiencing technical difficulties that may impact your ability to work with and access these features. Microsoft has identified a recent change in its infrastructure as the root of the issue and is working to deploy a fix. 

 

What Can You Expect

During this incident, you may experience issues with:

  • Email access (Outlook desktop, mobile, and web)
  • Microsoft Teams functionality
  • Calendar management
  • Creating meetings and events
  • File sharing and collaboration tools
  • Microsoft Copilot features

ITS will send updated communications on the status of this issue as we know more.

OneCard System Maintenance (Monday, November 25, 2024, from 8:30 a.m. – 2:30 p.m.)

Overview

Transact will perform required maintenance on the SFSU OneCard system, which resides at SF State, on Monday, November 25 from 8:30 a.m. until 2:30 p.m. Transact and all linked services will be down during this maintenance window.

 

Benefit: This upgrade adds system enhancements and improves the security and reliability of the OneCard system.

 

What Can You Expect

The SFSU OneCard system and various Integrations will be unavailable during the maintenance window.

• Campus Meal Plans 

• eAccounts 

• Fill Stations 

• Flowbird (Parking Lot Kiosk System)

Overview

ITS will apply a critical Oracle patch to the PROD database from Saturday, November 23, at 7 a.m. through Sunday, November 24, at 7 a.m. These critical security updates ensure our data remains protected. During the patch process, there will be a brief interruption to all services that connect to the Oracle databases. 

 

Benefit: Upgrading the Oracle PROD will ensure our databases remain secure.

Monthly Windows Update (Saturday, November 16, 2024, 6 p.m.-midnight)

Overview

ITS will apply monthly Windows security and critical updates on Windows servers on Saturday, November 16, 2024, from 6 p.m. to midnight. The latest Windows security patches fix vulnerabilities and errors in Windows and associated software. Security and critical updates reduce the risk of exploitation by malware or hackers. 

 

What Can You Expect

During the maintenance window, users may experience a brief loss of service while each server reboots. During the maintenance window, each server will be unavailable for less than 10 minutes.
